Due to business growth, we have a live Document Controller opportunity here at our Billingham office, within the Measurement Insights, Tracerco Business Unit.

Key Accountabilities

  • Control all aspects of project documentation on multiple simultaneous projects, utilising various control systems.
  • Manage and process many documents daily, including a thorough QA check, printing, review/distribution, and electronic distribution to create an accurate and comprehensive audit trail.
  • Internally distribute documentation by project procedures and coordinate comments/actions and responses between Project Management, Engineering, and Commissioning teams.
  • To log, distribute promptly, and keep updated with various instructions from clients, project managers, sub-contractors, etc.
  • Maintenance of accurate records of all drawings and other technical documents issued by clients, sub-contractors, suppliers, etc. through each stage of the project.
  • Ensure procedures and standards defined in the project’s protocols and procedures are followed.
  • At the end of projects, ensure that all project files are collated and correctly archived for easy and accurate retrieval.
  • Communicate with the Project Team, Suppliers, 3rd parties to agree on standards and systems so that we have the most efficient flow throughout the Project.
  • Assist Project Managers with the implementation and application of appropriate document control procedures during the design and procurements testing phase.
  • Archiving and recording closed Projects- including project folder and documentation/drawings.
  • Coordinate Ensure that the client’s needs are followed- including issuing documents via online webpages.
  • Ensure emails are responded to promptly and on time and prioritise my work requests to meet deadlines.
  • Following up with Project Managers or Engineers for outstanding documents/drawings
  • Assist with team member’s workload.

Essential Requirements

  • Liaising with Project Managers, Accounts, and Engineers, and being the main contact point for Customers.
  • Provide up-to-date reports for Project Managers & Customers detailing the documents/drawings due/overdue.
  • Ensure that the quality of documentation/drawings meets the customers’ requirements/specifications.
  • Ensure smooth flow of documents/drawings throughout the project from start to finish.
  • Ensure the end user is happy with the final documentation for the final invoice to be issued.
  • Database Knowledge – Microsoft, Word, Excel, PowerPoint, Publisher.
  • Strong organisational and prioritising skills.
  • Excellent attention to detail skills.
  • Excellent accuracy with data entry and filing.
  • Excellent communication skills – including verbal and written.
  • Have a methodical approach.
